ASSESSMENTS UPDATE
Every homeowner will be given a new homeowner account number through Lone Star Bookkeepers. It is very important you understand how to input these numbers into the pay portal:
EXAMPLE ACCOUNT NUMBER = 1027xxxxx01
1027xxxxx01 = A MADE UP homeowner account number FOR EXAMPLES ONLY.
Here is an example of how to breakdown an account number when using each portal.
When you want to pay your assessments at the "PAY PORTAL" You will use your entire account number. EXAMPLE:1027xxxxx01
When you want to see your homeowner account you will go to the "CALIBER PORTAL" where your homeowner account information and balances are stored and posted. On this portal you use all of the account numbers except you take the "1" off the end of your acct number. EXAMPLE: 1027xxxxx0
The account numbers are unique to the each individual homeowner on the list.

The homeowner portal shows your balances and any violations outstanding and your account information.

For those homeowners that would like to pay by a mailed in check or money order your $380 Autumn Lake annual assessment payment for your 2023 assessments please follow these instructions and you can pay your 2023 assessments now:
Make check payable to “Autumn Lake POA”.
Either write your property address on the memo line or the check,
Or include the Associa/HCMS coupon with your payment

Can I pay now by credit card - e-check - debit card ??? YES: (You need to email a request for your acct #)
For those homeowners who would like to pay your 2023 annual assessment of $380 by e-check, credit card, debit card or bank draft please follow these instructions and you can pay your 2023 assessments now:
Send an email with your name - address - your old homeowner account number to either of the emails listed below requesting your new homeowner account number that will be issued to you from Lone Star Bookkeeping.

I just paid my 2023 Assessments with the new payment portal for Lone Star Bookkeeping. I chose to pay by e-check as it is easy and there is no fee for paying by e-check. After I created my account all I had to do was go to "Homeowners", then click on the green "Make Payment" button and I added my new account number - my routing number and my checking account number. It showed me all the information for my account and asked me to put in an amount which was $380. Then I hit submit. The page then pops up that the payment was completed and it also sent me a verification by email for my records. Very easy. Only took 2 minutes.
There were several payment options.
You can also wait for Lone Star Bookkeeping to send out the beginning balance statements that will have your new account number set up with all the other needed information already in place:
It might be late January or early February 2023 before Lone Star Bookkeepers has all the information they need from Associa / HCMS to put together the beginning balance statements for 2023 assessments and have them sent out to all our homeowners. If you want to wait until you receive that notice it will again have all the needed account numbers, association ID numbers, management ID numbers to make it easy to just return it by mail or pay it online.
NOTE: Since Associa already sent out their 2023 Assessment coupons to the entire community 1 month ago against the Autumn Lake Board of Directors instructions (They did that because they make over $2000 sending them out each year over and above their contract) we now have to send out the same information again with new account numbers issued by our new accounting firm Lone Star that again will be sent out late January or early February 2023.
Since Autumn Lake is transitioning from Associa Management company to Lone Star Bookkeepers we we be allowing all members to pay your 2023 assessments as late as February 28, 2023 before they become delinquent. Any assessments payed after February 28, 2023 will be delinquent and be subjected to fines or late fees.
This information will also be posted in the Homeowners Forum as well as the community website under page titled “PAY ANNUAL ASSESSMENTS”.

WE HAVE A NEW PAY PORTAL AND ACCOUNTING COMPANY MANAGING OUR ACCOUNTS:
LONE STAR BOOKKEEPERS WILL BE COLLECTING ALL ASSESSMENTS AFTER DEC 31, 2022:
(Set up your homeowner acct & update contact form - Bottom of page are two links you can print out if some of your information needs to be updated).
$380 is still the yearly assessment total normally due on Jan 31, 2023. This year since we are switching bookkeepers the 2023 assessments will be due by February 28, 2023.
Do Not Pay Associa / HCMS after December 31, 2023.
Associa will no longer take assessment payments after Dec 31, 2022.
Please see bellow payment options to ensure your payments reach the new Autumn Lake bank account with AAB. IMPORTANT NOTE: You will no longer pay TownSquare as that pay platform was a part of Associa / HCMS & every homeowner will also receive a new
homeowner account number with your assessment coupons to be mailed out in January 2023.

• One-Time eCheck – One-Time ACH direct debit. No fee.
• Recurring eCheck /ACH – No fee. Recurring direct debit withdrawal allowing owners to determine the date of the debit; AAB will send a reminder email prior to the debit. No fee.
• All credit cards are accepted. The service fee to pay by credit card 3% of $380 = $11.40 service fee by credit card.
• Debit Card - $5 service fee applies and is charged at the time of payment.
You can also use the bill payment service provided by your bank. If you utilize your bank’s Bill Payment Service, please do the following:
• Delete the existing payment profile and create a new one to the address listed below.
• Ensure the check is made payable to Autumn Lake POA, and
• Enter the following information onto the memo for the payment: 7427 - Association ID - Property Account Number (example: 7427 – AL0024 – 1027xxxxx01). This information is outlined on your payment coupon.
US Postal Service Payments: Please mail your assessment payment to the bank processing center at the address below for prompt and accurate processing using the coupon that is included with any statement you receive.

LONE STAR BOOKKEEPING - INTRODUCTION LETTER : Please read to understand all options.
We are excited to announce that your Board of Directors has chosen Lone Star Bookkeepers to provide bookkeeping services for your community association effective January 1, 2023. LSB is a Houston based company with years of specialization in the homeowner association industry. We look forward to providing you and your Board of Directors with exceptional service.
2023 Assessment – The 2023 Assessment rate is $380.00 per homeowner. If you have already paid your 2023 annual assessment payment to Associa / HCMS, we suggest that you keep your payment records for confirmation if needed. Associa will be gathering any prepaid payments for 2023, and those payments will then be sent to Lone Star Bookkeepers.
If you receive a statement with an amount due at the end of January, please contact Lone Star Bookkeepers to resolve the balance due with the prior payment confirmation.
Important Notes – Lone Star will only handle your homeowner assessment account and payments. The Lone Star Homeowner Portal will also have information regarding deed restriction violations. Violations – Starting February 1, 2023, Autumn Lake will have a new company in place that will handle deed restriction violations.
The violation fines will post on your homeowner account with Lone Star Bookkeepers homeowner account portal.
The violation contact information and instructions will also be made available to the community website once that service is in place.
Lone Star Bookkeepers will not handle the following community services – Complaints about the community pool, park, piers, pavilions, playground equipment, common grounds, other neighborhood concerns, cars speeding, arguments between neighbors, general suggestions and complaints for the HOA Board of Directors. New Homeowner Account Contact – Lone Star Bookkeepers team will be available to help owners with their account balances. Account balances will be transferred from the current management company toward the end of January. Statements indicating prior balances will be mailed to homeowners once the information from prior management has been processed.

New Homeowner Account Numbers – With this change, there will be new account numbers for each homeowner. These account numbers have been generated and will be included for you on the statements that will be sent late January 2023.
New Banking and Payment Information – With this change in services, there will also be a change in the banking relationship for the association. Alliance Association Bank (AAB) specializes in the HOA industry and provides products and services uniquely geared towards community associations including the latest lockbox technology to accurately and quickly process and deposit your payments.

Enclosed Contact Form – Please take a moment and provide us with your preferred contact information on the enclosed form. We will be using this contact information to mail association notices and communicate with you about your owner account.
IMPORTANT NOTE: If you are leasing a home in Autumn Lake, please make sure the
homeowner receives this welcome letter so they can adjust their payment records and instructions as the community is transitioning from Associa / HCMS to Lone Star Bookkeepers as of January 1, 2023. This will help us avoid from taking away pool and park privileges away from those who are delinquent paying assessments. A homeowner account must be in compliance with assessments for residents to access the pool areas.
Caliber Owner Portal – To access information about your account or make a one-time payment, please visit our website www.lonestarbookkeepers.com
Click on the Homeowners tab at the top, then scroll down and click on
the Homeowner Portal button, below the Homeowner Payment button. This will redirect you to the Caliber Homeowner Portal. Please register for an account using your current email address on file and your new account number. This will be on the statement received in January, you can also email or call to get this information.
Extended time to pay assessments – Since Autumn Lake is going through a transition to a new account managing team, we will be extending the time to pay your 2023 assessments payments to February 28. 2023. All 2023 assessment payments paid after February 28, 2023, will be considered delinquent and be subjected to fines and late fees.
Payment plans – Autumn Lake posts signs at each entrance as well as several posts on the community website as direction of where to pay assessments. Our goal as a community is to help make sure that our homeowners do not end up in legal and end up paying large legal fees. If for any reason you are going through hard times and cannot pay your annual assessments of $380 on time, please reach out to Lone Star Bookkeepers and make payment plan arrangements.
